Welcome to The Spotlight Booth. These Terms & Conditions set out the basis on which we provide our 360 video booth and selfie pod hire services. By making a booking, paying a deposit, or using our services, you confirm that you have read, understood, and agreed to these terms in full. If you do not agree with any part of these terms, you should not proceed with a booking.
1. Services Provided
The Spotlight Booth provides 360 video booth and selfie pod hire for private, corporate, and public events. All services are subject to availability and are only confirmed once a booking has been secured in accordance with the payment terms outlined below. We reserve the right to decline or cancel any booking at our discretion where necessary.
2. Booking and Payment Terms
In order to secure a date for your event, a non-refundable deposit of £100 is required at the time of booking. This deposit confirms your reservation and ensures that the agreed date is held exclusively for you. The deposit will be deducted from the total cost of your booking.
The remaining balance must be paid in full no later than one calendar month (30 days) prior to the event date. Failure to make the final payment by the due date may result in the cancellation of your booking, and the deposit will remain non-refundable. We are not obliged to provide services where full payment has not been received within the required timeframe.
3. Cancellations and Refund Policy
If you wish to cancel your booking, written notice must be provided as soon as possible. Please note that the £100 deposit is strictly non-refundable under all circumstances, as it covers administrative costs and reserves your event date exclusively.
If you cancel your booking at least 48 hours before the scheduled event and you have already paid more than the deposit, any remaining balance paid will be refunded in full. However, cancellations made within 48 hours of the event date will not be eligible for any refund beyond the non-refundable deposit, regardless of circumstances.
4. Changes to Bookings
We understand that plans can change, and we will always try to accommodate reasonable amendments to booking details, including changes to event timing or location. However, any changes are subject to availability and cannot be guaranteed, particularly if requested close to the event date. In some cases, changes may require additional charges or may be treated as a cancellation of the original booking.
5. Event Requirements and Client Responsibility
It is the responsibility of the client to ensure that the venue is suitable for the setup and operation of our equipment. This includes providing adequate space for installation, ensuring safe and reasonable access to the venue, and confirming that a stable power source is available where required.
We will not be held responsible for any delays, limitations, or inability to perform our services where the venue conditions are unsuitable or not as described at the time of booking.
6. Liability
While we take every reasonable measure to provide a reliable and professional service, The Spotlight Booth cannot be held liable for any indirect loss, damage, or failure to deliver services resulting from circumstances beyond our control. This includes, but is not limited to, venue restrictions, power failure, adverse weather conditions, or unforeseen emergencies.
7. Media and Promotional Use
We may, from time to time, capture images or video of our equipment, setup, or booth in operation during events for the purpose of marketing and promotion, including use on our website and social media platforms. If you do not wish for your event to be used in this way, you must notify us in writing prior to the event date, and we will respect your request.
